This role is responsible for driving sales and marketing for the venue's group, conference, and event facilities, managing all bookings and client relationships, and overseeing the budgeting and financial aspects of events. The executive coordinates all event logistics, liaising with staff and suppliers, and manages a team of event staff. They also conduct post-event evaluations and handle administrative tasks such as contracts and invoicing.

Responsibilities

  • Sales and Marketing: Develop and implement a sales and marketing plan to promote the venue's group, conference, and event facilities to potential clients, and manage existing client relationships.
  • Booking Management: Oversee all bookings, including negotiating contracts, managing room allocations, and ensuring that client requirements are met.
  • Budgeting and Financial Management: Develop budgets and financial reports related to events and conferences, track expenses, and ensure that all events remain within budget.
  • Coordination and Management: Oversee all aspects of events and conferences, including liaising with venue staff and suppliers, arranging catering, audiovisual, and transportation needs, and managing logistics and schedules.
  • Client Relationship Management: Develop and maintain strong relationships with clients, addressing their concerns, and responding to their requests in a timely and professional manner.
  • Staff Management: Manage a team of event and conference staff, including scheduling, training, and delegating tasks.
  • Event Evaluation: Conduct post-event evaluations to assess the success of each event and make recommendations for improvement.
  • Administration: Maintain accurate records, prepare reports, and handle administrative tasks such as drafting contracts, invoicing, and processing payments.

Requirements

  • The role should have excellent communication and interpersonal skills, strong organizational and time management skills, and the ability to work effectively under pressure. They should also have a good understanding of the hospitality industry and be familiar with event and conference planning processes. Additionally, they should have experience in sales, marketing, and financial management, and possess a relevant diploma or degree in event management, hospitality management, or a related field.
