As a Group, Conference and Events (GCE) Sales Coordinator, you will support the sales team by securing and coordinating group event bookings, ensuring memorable guest experiences. Your responsibilities include responding to inquiries, generating new leads, conducting site inspections, negotiating contracts, and managing client relationships from contract to event execution. You will also handle event documentation, prepare Banquet Event Orders and reports, and collaborate with Operations, Catering, and Revenue teams to ensure seamless service delivery.

Responsibilities

  • Support sales team with group and event bookings
  • Coordinate event requirements with clients and internal teams
  • Prepare proposals, contracts, and documentation
  • Ensure smooth execution of events from planning to completion
  • Maintain accurate records and follow-ups
  • Drive group sales: Respond to incoming inquiries and secure sales for meetings and group accommodations of 10–50 rooms (varies per hotel), including meeting space, food & beverage, and ancillary services
  • Generate new leads: Prospect, qualify, and convert new business opportunities through outbound efforts, proposal writing, and tailored sales strategies
  • Promote the property: Conduct engaging site inspections and hotel tours, highlighting key spaces and services that align with client needs
  • Negotiate and close contracts: Use discretion and authority to negotiate pricing, terms, and agreements with clients and vendors
  • Manage client relationships: Serve as the primary point of contact from contract to event execution, coordinating group details including room blocks, F&B, billing, performance clauses, and affiliate revenue opportunities
  • Manage event documentation: Input and update event details in booking systems, coordinate site visits, and arrange VIP services
  • Prepare and distribute documents: Create and share Banquet Event Orders (BEOs), group resumes, menus, diagrams, and post-event reports to ensure alignment across teams
  • Stay organized and detail-focused: Prioritize tasks, manage timelines, and maintain accurate records to support high-quality service and operational efficiency
  • Collaborate across teams: Partner with Operations, Catering, and Revenue teams to ensure a seamless transition from sales to service

Requirements

  • 1–3 years of experience in hospitality/events coordination
  • Strong organizational and multitasking skills
  • Attention to detail and ability to work under pressure
  • Good communication skills
  • Proficiency in Microsoft Office and hotel systems
  • Fluent in English
