The Events Coordinator supports the planning and execution of USC Alumni Association signature events, providing logistical, administrative, and operational support throughout the event lifecycle. Reporting to the Alumni Events Director, the role collaborates with Advancement colleagues, campus partners, volunteers, and external vendors to create memorable experiences for the Trojan community. Responsibilities include coordinating event materials, vendor logistics, budget tracking, and post-event reporting.
Responsibilities
- Support the planning and execution of USC Alumni Association signature events by assisting with event logistics, coordinating vendor relationships, and providing onsite event support.
- Help coordinate event materials, including invitations, programs, signage, and website updates to ensure attendees receive accurate and timely information.
- Assist with event setup and breakdown, including organizing event supplies, signage, and materials, and maintaining department inventory.
- Support budget tracking and administrative processes by processing invoices, monitoring expenses, and coordinating with Finance to ensure timely payments.
- Support vendor logistics and event details, including catering, audiovisual needs, transportation, rentals, and venue coordination.
- Maintain the events inbox, coordinate schedules, support special projects, and assist with administrative activities that contribute to successful event planning.
- Compile event metrics, attendance information, and participant feedback to support post-event reporting and continuous improvement.
- Perform other duties and special projects as assigned.
Requirements
- High school or equivalent.
- Combined experience/education as substitute for minimum education.
- Two years of professional experience coordinating events, meetings, conferences, hospitality programs, fundraising events, or related activities.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills.
- The ability to work collaboratively with colleagues, vendors, and other stakeholders.
- Availability to work a flexible schedule, including early mornings, evenings, weekends, and occasional short-notice events.
Nice to have
- Bachelor's degree in hospitality management, communications, business administration, public relations, or a related field.
- Experience supporting events in higher education, nonprofit, alumni relations, or advancement.
- Experience working with vendors and contracts.
- Experience with a CRM (Salesforce), event registration platforms, and project management tools.
