The Sales & Events Coordinator supports the hotel's sales and events team by handling administrative tasks, processing incoming leads, and executing sales reporting. The role serves as a central point of contact for colleagues, clients, and vendors, ensuring group and event needs are communicated to all departments from booking through checkout. The coordinator also assists with servicing groups, events, VIP and business travel guests, maintains sales databases, and may perform direct sales activities as needed to help maximize the team's performance and the hotel's sales success.
Responsibilities
- The Sales & Events Coordinator will assist in the execution of the administrative process, service, detail, and efficiently communicate to all departments the group & event needs from the time of booking through check out date.
- Efficiently performing all assigned sales duties including processing incoming leads and executing sales reporting requirements.
- Ensure all deadlines are met, performing assigned duties, maintaining sales data files, and acting as a liaison between hotel and clients and vendors as directed.
- Assist in the servicing of groups, events, VIP, and Business Travel guests as directed, and maintain files and sales databases as per company standards.
- Ensure efficient communication of group & event needs to hotel operations team.
- Execute assigned sales reporting and ensure all deadlines are met.
- Monitor phones, voicemails, emails and inquiries and maintain a 2- hour response time when possible.
- Generate reports, prepare proposals, contracts, resumes, collect details as directed and maintain data integrity of sales system.
- Process, log and handle gift certificates, and planner points as directed.
- Attend internal meetings as directed
- Utilize Microsoft Office Suite, customer relationship management software, and other relevant business software.
- All other duties and tasks as assigned.
Requirements
- Two to four-year college degree or equivalent education/experience.
- Ability to manage and organize complex projects and establish priorities consistent with department/club objectives.
Nice to have
- Sales/Events experience preferred.
