As our Junior Meeting & Events Specialist you are responsible for the conversion, planning, and coordination of all meetings and events taking place in Zoku Vienna. You will be our administrative and relationship-management super-star and the key contact person for our guests regarding all meetings and events. Your day to day involves managing all requests, bookings & invoices and making sure every player in our culinary and operational team knows what to do in regards to M&E. Working together with the operational team (service and culinary). Reporting to the Meeting & Partnership Manager who you work closely with.
Responsibilities
- The booking manager: You have your inbox and bookings in check and updated when you go home - every day. Being efficient in written and verbal communication ensuring minimal error and great service is one of your greatest motivators.
- The ultimate party planner: For the day of the event or meeting you coordinate and confirm all details, while the physical setup and on-site execution are handled by M&E Operations.
- Creating memorable meetings: From first inquiry to final confirmation, you coordinate all elements needed to deliver unforgettable corporate and social events, working closely with both our guests and internal teams.
- A true connector: You’re good at scoring high guest satisfaction because of your smooth and flawless service and communication from the first guest contact to the day of the meeting or event. Regular check-ins with your colleagues will bring the department to the next level.
- Keeping things organized: Organization is your middle name. We’ll need you to have your admin in check to manage feedback, invoices are more.
Requirements
- Bring good vibes, are friendly and always approachable - ESPECIALLY over the phone AND IN PERSON
- Have prior experience working in communication- and guest relation- oriented roles, e.g. front office, sales / help desk or hospitality/events
- Love up-selling and creating the best possible deal for the client and hotel.
- Can keep a cool head and warm smile even during busy and stressful times.
- Have a can do, entrepreneurial spirit that's all about discovering new ideas and solutions.
- Have a very good eye for detail and love to multitask.
- Love putting a personal touch on their service.
- Want to be the king or queen of communication, always keeping it professional while maintaining Zoku's tone of voice.
- Have prior experience working in communication- and reservation- oriented roles, e.g. front office, sales or call center / help desk or events.
- You have 6 month experience in a similar sales/events/office function in the hospitality industry.
- You are an EU resident or have a valid working and residence permit for Austria.
- You are **available Part Time (20 hours/ 2,5 days a week between 9.00 -17:00) from October to February. (**small possibility that the contract may be extended after the fixed-term period)
- You have extraordinarily strong communication and writing skills.
- You are fluent in both English and German, other languages are a plus.
